Who we are

Proptamize Ltd (company no. 16790521), registered office 316 Peninsula, 4 Praed Street, Westminster, London, W2 1JE, is the data controller for the personal data described here. Contact: zayd@proptamize.co.uk.

What we collect

• Contact details: name, email address, phone number, and the country you live in.
• Property information: addresses, purchase and sale figures, budgets, milestones and progress notes.
• Documents and photographs relating to your property: legal packs, surveys, quotes, invoices, certificates, insurance, and site photos. These may incidentally include personal data about other people, for example a contractor’s name on an invoice.
• Account and usage records: sign-in times, approvals you give or decline, files you upload or download, and the technical logs needed to keep the service secure.
• Website analytics: aggregate, cookie-free visit statistics from Cloudflare Web Analytics. We do not use advertising or tracking cookies on this website.

Why we use it

• To provide property management and project management services under our contract with you (performance of a contract).
• To keep a permanent record of decisions and costs, which protects both of us (legitimate interests, and legal obligations for accounting records).
• To keep the service secure and to detect misuse (legitimate interests).
• To send you service messages such as sign-in links and approval requests. We do not send marketing email without your consent.

Where it is stored

Portal data and files are stored with Supabase in London, United Kingdom (AWS eu-west-2). The portal and this website are delivered through Cloudflare, whose network may process requests outside the UK under standard contractual safeguards. Transactional emails are sent through Resend. We do not sell personal data.

Who we share it with

Contractors and professionals working on your property receive only what they need, for example an address and access arrangements. Co-investors you name on a property can see that property’s records. Our accountants and legal advisers where necessary. Authorities where the law requires.

How long we keep it

For the duration of our engagement and then for six years, to meet accounting and legal requirements and to resolve any dispute. If you close your account, portal access becomes read-only for 90 days and is then deleted, except records we must keep by law.

Your rights under UK GDPR

You can ask for a copy of your data, ask us to correct or delete it, restrict or object to how we use it, and ask for it in a portable format. Email zayd@proptamize.co.uk and we will respond within one month. You can complain to the Information Commissioner’s Office (ico.org.uk) if you are unhappy with how we handle your data.

Security

Access to the portal is by invitation only. Every database record is protected by row-level security so an account can only read its own properties. Files are private and only reachable through short-lived links. All connections use HTTPS.
